Events & Lessons Booking Agreement

This Agreement supplements the Midnight Mahj Terms & Conditions.
Private Events & Private Lessons Booking Agreement
This Booking Agreement (“Agreement”) is made between Midnight Mahj, LLC (“Provider”) and the client completing the booking (“Client”). By completing a booking, the Client agrees to the terms below.
1. Private Event & Private Lesson Booking Terms
Booking Process
Private events and lessons are subject to availability, staffing requirements, scheduling limitations, and instructor availability.
Private events for 16 or fewer guests: Available dates and times may be offered through online private event listings. Each listing will specify the maximum guest capacity for that date and time. Clients must select an option that accommodates the maximum number of guests they anticipate attending. The reservation is secured when the required $100 non-refundable deposit is paid through the applicable booking listing.
Private events for more than 16 guests: Large private events require additional staffing and advance planning and must be arranged through the Midnight Mahj event inquiry process. Submission of an event inquiry does not constitute a confirmed booking, reserve a date, or guarantee availability. An event is confirmed only after Midnight Mahj has reviewed and accepted the request and confirmed the event details and availability. A $200 non-refundable deposit is required once the event has been confirmed.
Large Private Event Advance Booking
Private events for more than 16 guests must be booked by the last day of the second calendar month before the month in which the event will take place.
For example, a private event taking place on December 18 must be booked by October 31.
Large private events require additional staffing and advance planning. Midnight Mahj cannot guarantee that requests received after the applicable deadline can be accommodated.
Reservation & Deposit
For private events and lessons for 16 or fewer guests, a $100 non-refundable deposit is required at the time of booking to secure the reservation.
For private events and lessons for more than 16 guests, a $200 non-refundable deposit is required once the event has been reviewed and confirmed by Midnight Mahj.
Deposits will be applied toward the Client's final event balance.
For large private events, submitting an inquiry does not reserve or guarantee a date. The event is not confirmed until Midnight Mahj has reviewed and confirmed availability and event details.
Thirty percent (30%) of the total fee based off guest count at booking is due no later than 21 days before the event or lesson date. If the booking is made within 21 days of the event, this payment is due at the time of booking.
Changes in total headcount must be communicated to Midnight Mahj no later than 7 days prior to the event date.
The remaining balance is due 7 days prior to the event or lesson date.
Event Location & Travel
Private event pricing applies to events located within a 10-mile radius of 19803 (Wilmington, Delaware).
Events located more than 10 miles from 19803 are subject to a $1.00 per mile travel fee calculated using the round-trip distance between 19803 and the event location.
Events outside the 10-mile radius may not be able to be accommodated based on location, date, timing, and instructor availability.
For an online booking located outside the 10-mile radius, Midnight Mahj will review the location after booking. If Midnight Mahj determines that the event cannot be accommodated, the applicable deposit will be refunded.
Guest Capacity
For private events booked through an available online listing, the Client must select a date and time with a maximum capacity that accommodates the largest number of guests the Client reasonably anticipates may attend.
The Client may not book a listing with a maximum capacity of 8 guests for an event that may ultimately have more than 8 guests, for example.
Final guest counts may be lower than the selected maximum capacity, subject to the applicable minimum guest count. However, Midnight Mahj does not guarantee that additional instructor availability will exist if the Client later requests an increase in guest count beyond the capacity associated with the original booking.
Any increase beyond the originally selected capacity requires confirmation from Midnight Mahj before additional guests may be added.
Minimum Guest Count
Private events have the following minimum guest requirements:
Wilmington, Delaware: Minimum of 4 guests
Outside Wilmington, Delaware: Minimum of 8 guests
If the Client's final guest count falls below the applicable minimum, the final event balance will be calculated using the applicable minimum guest count rather than the actual number of attendees.
Cancellation and Rescheduling Policy
Cancellations and rescheduling are governed by our Refund & Returns Policy, which is incorporated by reference.
Alcohol & Safety
Provider does not provide any alcohol.
If alcohol is available or consumed, Participants are responsible for safe, legal consumption and transportation.
Clients and attendees are solely responsible for transportation to and from the event and for compliance with all applicable laws.
Provider assumes no responsibility for alcohol-related incidents.
Food, Drinks & Equipment
Provider does not supply food or drinks but may offer recommendations upon request.
Provider will supply materials and equipment as specifically agreed upon during the booking process.
Clients must handle all mahjong tiles, racks, and equipment with care.
Hand sanitizer may not be used while handling tiles, as certain products may damage the tiles.
Any breakage, damage, or misuse will be the responsibility of the Client, who agrees to cover replacement costs.
No Monetary Exchange
No money will be exchanged or awarded for winning games.
2. Liability & Conduct
Liability
Provider is not responsible for personal injury, property damage, or loss during events or lessons.
Clients and attendees assume full responsibility for their own safety, conduct, and transportation.
Client agrees to indemnify and hold harmless Provider for any claims or causes of action alleged or asserted by any attendees at an event.
Conduct
Provider reserves the right to remove any participant whose behavior is disruptive, unsafe, or in violation of this Agreement, without refund.
3. Miscellaneous
Governing Law
This Agreement shall be governed by and construed in accordance with the laws of Delaware.
Entire Agreement
This Agreement constitutes the entire understanding between the parties and supersedes all prior discussions or agreements.
4. Image & Media Release
To avoid conflicting versions, consider language such as: Participation in Events is subject to our Photo & Media Release Policy, which is incorporated by reference.
2. Public / Open Play Event Booking Agreement
This Booking Agreement (“Agreement”) is made between Midnight Mahj, LLC (“Provider”) and the client completing the booking (“Client”). By completing a booking, the Client agrees to the terms below.

Payment & Registration
Full payment is due at the time the reservation is made
A reservation is not confirmed until payment is received.
Payments are non-refundable.
No-Cancellation / Transfers
Public and open play events cannot be canceled or refunded.
A Participant may transfer their reservation only with Provider’s prior written approval, requested at least 48 hours in advance.
Attendance & Punctuality
Participants are expected to arrive on time. Late arrivals may miss instruction or gameplay without refund.
Alcohol & Safety
Provider does not provide any alcohol.
If alcohol is available or consumed, Participants are responsible for safe, legal consumption and transportation.
Clients and attendees are solely responsible for transportation to and from the event and for compliance with all applicable laws.
Provider assumes no responsibility for alcohol-related incidents.
Food, Drinks & Equipment
Provider does not supply food or drinks but may offer recommendations, unless otherwise stated in event description.
Provider will supply all mahjong equipment for gameplay.
Participants must handle all tiles, racks, and equipment with care.
Hand sanitizer may not be used while handling tiles, as certain products may damage the tiles.
Any damage or loss caused by a Participant may result in replacement charges.
No Monetary Exchange
No money will be exchanged or awarded for winning games.
